Data controller
Gateway House RTM Company Limited (company no. 12561243) is the data controller. Our managing agent, Sterling Estates Management, processes personal data on our behalf under a management agreement. Contact: contact@gatewayhousertm.co.uk.
Collected personal data
- Leaseholder and tenant names
- Property address and unit number
- Contact details (email address, phone number, postal address)
- Payment details relating to service charges and ground rent
- Correspondence and enquiry records
- Access records (e.g. parking, CCTV, maintenance requests)
- Other relevant records needed to manage the building
Purpose of collecting data
- To manage and administer the Gateway House development in accordance with the leases
- To collect and process service charges and other payments
- To maintain communication with leaseholders, residents and contractors
- To comply with legal and regulatory obligations under the Commonhold and Leasehold Reform Act 2002, the Landlord and Tenant Act 1985 and related legislation
- To ensure safety, security and proper management of the estate
Who we share it with
The managing agent; contractors carrying out work (name and flat number only, where needed); insurers and loss adjusters for claims; accountants and auditors; solicitors for conveyancing enquiries or debt recovery; and public authorities where the law requires. We do not sell personal data.
How long we keep it
Service charge and accounting records are kept for at least six years after the year they relate to, as required by law. Correspondence is kept for as long as it is relevant to the management of the building. CCTV footage, where used, is overwritten on a rolling basis unless retained for an incident.
Your rights
You can ask for a copy of the personal data we hold about you, ask us to correct it, and in some circumstances ask us to delete or restrict it. Email contact@gatewayhousertm.co.uk. If you're not satisfied with our response you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies and analytics on this website
This site uses analytics cookies by default so we can see which pages residents use and fix what isn't working. A small notice appears on your first visit with a Decline button; declining switches analytics off, deletes the analytics cookies already set, and is remembered in your browser. You can change your choice at any time from the cookie icon in the bottom-left corner of every page or the Cookie settings link in the footer.
- Google Analytics 4 — page views and basic usage statistics. Used with Google's consent mode; no advertising features, no remarketing, and no data shared with Google Ads. This site carries no advertising tags.
- Google Maps — the embedded map on the contact page sets Google's own cookies when it loads. If you decline cookies we show a link to open the map on Google's site instead.
- Your preference — a single value in your browser's local storage recording whether you declined.
The contact form is processed by Web3Forms, which forwards your message to our email and does not retain it beyond delivery. If you follow a link to the owners' portal or to Sterling Estates Management's website, their privacy policy applies.
